SERVICE COORDINATOR/ SUPPORT ADMIN
The purpose of the Service Coordinator is to provide work coordination for the technical team and support the team with administrative services such as product sourcing & ordering. At least 50% of the role will be liaising with the clients and the team to coordinate their work requests.
• Service Ticket Queue
o Allocating tickets to team members
o Reviewing ticket queues and following up on outstanding tickets with service team
• Quality Follow Up Calls
o Following up on customer satisfaction notes
• Product Procurement
o Sourcing pricing information from established vendors, adding to client quotes
o Arranging purchasing of products & client invoicing on approval
o Processing work invoices and Sending invoices to clients
o Maintain/update client billing notes on change
• Receiving Customer Calls
o Taking information and allocating to the most appropriate person
• Review Error Lists/Dashboards and create/assign tickets as appropriate
Training will be provided for all tasks.
Must be comfortable talking to clients in a professional manner on the phone
Proficient with Microsoft Office 2016 applications such as Word, Excel and Outlook
Excellent time management skills and the ability to prioritize work
Attention to detail and problem solving skills
Excellent written and verbal communication skills
Ability to follow instructions/procedures
Basic technical knowledge of business computer systems would be an asset, however general training will be provided.
All work will be done from our office in Chilliwack – no travel expected.
Client calls answered and logged into our system
Work tickets allocated each day within 1 hour of arrival/entry
QC Follow up calls made/completed within 24 hours/next day
Product quotes/prices obtained and entered within 24 hours
